How Alista looks after event data
An event programme holds personal data: names, dietary needs, sometimes passport copies. This page says plainly how Alista stores it and who can see it.
Where data is stored
The database and uploaded files are stored in the European Union, in Ireland. Data is encrypted in transit and at rest.
Each account is separate
Every DMC has its own account. The separation is enforced by the database itself, on every table, and not only by the screens: a request for another account’s data returns nothing.
Who sees what
- Your team see their own account’s events. Each person can view only, edit, or also run the account, and whether they see costs, and may change them, is set for each person.
- Freelancers are given access one event at a time, to the whole event or only to the parts they are assigned to, until a date your team sets. Each can read, or read and change, what they are given. They see a note, file or task only when your team has shared it with them, and never see costs.
- Partner companies are given an event in the same way, and choose which of their own people work on it, none with more access than the company was given. What a partner keeps against your event is seen only by its own people, and what you keep from it stays with your team.
- Freelancers and partners have access only while an event is confirmed or delivered. Closing or cancelling it hides it from them.
- Attendees who use the portal see their own details and their own programme, and nothing of anyone else’s.
Private details
Guests’ dietary needs, passport copies, and any answer, note or file your team marks as private are seen only by the people you allow, person by person. Anyone else is not shown them, nor told they are there.
Signing in
People sign in with a link sent to their email address. There are no passwords to choose, share or leak. A sign-in link works once and expires.
Files
Uploaded files are private. They are opened through short-lived links issued only to someone allowed to see the item they belong to. Only documents, spreadsheets, presentations, PDFs and pictures can be uploaded; programs and scripts are refused.
Deleting
Deleting an event or an item in the app removes it from every screen, and it can be put back. To have data permanently erased, write to helloalistaworks.com.
