What the event is costing, as it stands

The client asks whether the gala dinner is still within budget, now that forty guests have chosen the fish at €65 and twelve have not chosen at all. In Alista the answer is already on the screen: the budget, what the dinner is costing today, and who still has to choose.

A budget where you need one

Not everything needs watching. Choose the parts of the programme you want to track, the dinners, the coaches, the hotel nights, and give each its budget.

Costs that follow the choices

Put a price on each option, the fish, the beef, the junior suite, and the current spend is worked out from what each guest has chosen, counting those who have not replied yet and leaving out anyone who has declined. When a guest changes their mind, the figure changes with them. Where nothing has a price, the cost is the budget, and Alista says so.

Over or under, at a glance

The event’s spend is set out by transfers, meals, activities and hotel nights, against the budget, with whatever needs attention picked out: a part with no budget, an option with no price, guests still to choose, a figure over its budget.

Seen only by the people who should

You decide, person by person, who on your team sees the costs and who may change them. Freelancers and partners never see them.

Questions

Does Alista do quotes or invoices?

No. Spend is for keeping an eye on an event’s costs once it is sold. Quoting, invoicing and payments stay in the tools you already use for them.

Can someone see the costs without being able to change them?

Yes. Each person on your team can have no access to costs, see them, or see and change them.

Which currency does it use?

Euros.
