For DMCs
Built around how a DMC runs an event
Most event software was made to sell tickets and register delegates. Your business is something else: several days, dozens of suppliers, a freelance crew, and a client who is still changing things on the last morning. Alista was built for that.
What it gives each of you
You
Open any event and see where it stands: what is confirmed, how many are coming, which tasks are done and which have slipped. The knowledge is in the programme, not in one person’s head.
Your project managers
They plan the programme once instead of assembling a document, and a late change costs them a minute where it used to cost an evening.
Your coordinators on site
A run sheet that is always current, with the numbers and the important notes in full, and a feed that shows what moved since yesterday.
Your freelancers and partners
Their own part of the event on their own phone: where to be, when, who to call and the notes you meant for them. A partner company brings its own people, and keeps its own notes and costs to itself.
Your hotels and coach companies
The rooming list and the transfer list are printed from the programme itself, each page dated, so the copy you send them is right on the day you send it.
Your guests
If you want it, a portal where they confirm they are coming, say what they cannot eat and find their own programme.
The things it takes off your hands
The same fact kept in five places
The time of a dinner lives in the master document, the run sheet, the transfer list, the restaurant’s confirmation and three people’s heads. In Alista it lives on the dinner. The coach that runs before it, the printed run sheet and each coordinator’s phone all take it from there.
Numbers nobody quite trusts
Who is on the second coach? How many vegetarians at the gala dinner, now that six people have declined? Alista works these out from the guest list every time you look, and warns you when a coach, a restaurant or a hotel is over its limit.
Everyone receiving everything
A driver who needs three lines is sent the whole document, internal notes and all. In Alista your team decides what freelancers can read, note by note, a freelancer can be kept to the parts of the event they are working, and guests’ dietary needs and passports are seen only by the people you choose.
Not knowing which version is current
There is no version to send. People open the event and see it as it is now, and anything printed carries its date and time on every page.
Questions
What is a DMC?
A destination management company (DMC) is a local specialist that plans and runs events, incentive trips and group programmes in its destination for clients from elsewhere: the hotels, transfers, venues, meals and activities, and the staff on the ground.
We already build a master document for each event. Why change?
Because a document only works until something changes. After that, the same change has to be made in the document, in the rooming list, in the transfer list and in every copy already sent out. Alista keeps one programme and everything else follows from it, so the change is made once.
Do our freelancers need an account or an app?
Neither. They are invited by email for each event and sign in with a link, in the browser on their own phone.
Can we try it on a real event?
Yes, and that is what early access is for. We set you up and stay close while you run a real programme.
