Plan the programme once. Work from it everywhere.

Each event has one programme in Alista. Your team plans in it, your freelancers read their part of it on their phones, and the rooming list, the transfer list and the printed copies come straight out of it. When something changes, it changes for everyone at once.

How an event runs in Alista

  1. Create the event. Give it a destination and its dates, and Alista sets out a day for each one. Paste in your usual checklist and it becomes the event’s tasks.
  2. Build the programme. Add the transfers, hotel nights, meals and activities to each day, with their times, venues and suppliers, or bring in an agenda you already have. A likely time is fine to start with; when it is confirmed, it is changed once.
  3. Bring in the guest list and say who each part of the programme is for. The headcounts and dietary numbers appear by themselves.
  4. Add your freelancers, and any partner company, and choose what each of them sees and may change. They hear about it when you confirm the event, and not before.
  5. Run it. Change whatever needs changing. Everyone sees what moved, the conversation sits beside the thing it is about, and a dated printed copy is one click away.

A closer look

Run sheet and calendar

Your team plans each day once and works from it as a run sheet or a calendar. When a time changes, everyone already has the new one.

Import

Drop in the client’s guest list, the hotel’s rooming list or an agenda, as a spreadsheet, a document, a PDF or a photo. Alista works out what it is and shows you what will change.

Attendees and headcounts

Bring in the guest list and say who each part of the programme is for. The numbers stay right as people accept, decline and change their plans.

Accommodation and travel

Hotel nights and journeys are part of the programme, so the rooming list and the transfer list can never disagree with the run sheet.

Freelancers

Each freelancer opens the event on their phone and finds what is theirs. You decide what they see, and whether they can change it.

Partners

Give another DMC or agency their part of the event. They bring their own people, keep their own notes and costs, and their access ends when the job does.

Chat and change feed

A feed shows each change to a confirmed programme, the old value beside the new, and every part of the programme has its own conversation.

Spend

Set a budget against each part of the programme you want to watch. Alista works out what it is costing from what each guest has chosen, and shows you where it is over.

Print

Alista prints the run sheet, the rooming list and the transfer list as dated PDFs, straight from the programme as it stands.

What Alista does not do

Alista is for operations: planning and running a programme once the event is sold. It does not write your quotes and proposals, make your bookings, raise your invoices or stand in for a CRM. Those are jobs for other tools, and Alista is happy to sit beside them.

Alista is in early access with a small number of DMCs. Tell us a little about the events you run and we will be in touch.
