Every coordinator, guide and driver works from their part
A driver needs three lines of your programme, and today probably gets thirty pages of it. With Alista, each freelancer opens the event on their phone and finds what is theirs: where to be, when, who to call, and the notes you meant for them.
No document to send, so no old copy to worry about
Your freelancers are not sent a file. They open the event and see it as it stands this minute. If something changes at midnight there is nothing to send round in the morning, and nobody is working from last Tuesday’s version.
You choose what each person sees
A senior coordinator can have the whole event. A guide or a driver can have just the parts they are working. Your internal notes, files and tasks stay inside your team until you decide to share one, and your guests’ names, dietary needs and passports stay out of sight unless you allow that person to see them.
Reading, or putting it right themselves
Most freelancers only need to read. A coordinator you trust can be allowed to change their part as well: move a time, add a note or a photo, put a late guest on their coach. The event’s status, your suppliers’ references and anything to do with money stay with your team, and when they move a time or a place, the feed shows it with their name on it.
Nothing to install, no password to forget
Freelancers sign in with a link sent to their email and use Alista in the browser on their own phone. There is no app to download at a quarter to six before the first pick-up, and no shared password doing the rounds.
Access that ends with the job
You can line up your freelancers while the event is still a draft; they hear about it, and get in, only when you confirm. Each person’s access runs to a date you choose, and when you close or cancel the event it disappears from their list.
See it through their eyes first
Before anyone else looks, one click shows you the programme exactly as a particular freelancer will see it.
Questions
Do our freelancers need to install an app?
No. Alista runs in the browser on a phone, a tablet, a Mac or a PC. They open a link from their email and sign in with it.
Can a freelancer change the programme?
Only if you let them. Each freelancer can read their part, or read and change it: times, notes, files, and who is on it if you allow that too. The event’s status, its costs and your suppliers’ references stay with your team.
Can I check what someone will see?
Yes. "View as" shows you the programme as any one of your freelancers sees it.

Partners
Give another DMC or agency their part of the event. They bring their own people, keep their own notes and costs, and their access ends when the job does.
Chat and change feed
A feed shows each change to a confirmed programme, the old value beside the new, and every part of the programme has its own conversation.
Spend
Set a budget against each part of the programme you want to watch. Alista works out what it is costing from what each guest has chosen, and shows you where it is over.
