Bring in the files you already have
The client’s guest list arrives as a spreadsheet, the hotel sends its rooming list as a PDF, and the agenda is a Word document with “TBC” in half the time slots. You drop each one into Alista as it is, and it shows you what it found before a single thing is saved.
One place to drop any of them
Alista reads Excel and CSV files, Word documents, PDFs and photos of a printed page, and tells you whether it is looking at a guest list, a rooming list or an agenda. If it has guessed wrong, you say what it is. From Numbers or Pages, export to Excel or Word first.
Nothing saved until you say so
Before anything changes you see it line by line: who is new, what has changed, what is there already. Bring in the same file twice and nothing is added twice.
Guest lists and rooming lists
A guest list adds and updates people, and never removes anyone. A hotel’s rooming list sets that hotel’s nights to match it: who sleeps there, on which nights and in which room type, with guests matched by name when the hotel has no emails. Anyone on it who is not on your guest list yet can be added as you go.
An agenda, put into its days
Each line lands on the day of its date with its time, its type and its venue, found among your saved places or near the destination. A reception that belongs to the dinner arrives inside it, and whatever else a line says is kept as a note. A line that says “TBC” asks you for a likely time before it goes in.
Choices come with the list
A column of menu choices or room types becomes the options on the dinner or the hotel night, with each guest’s choice already given.
Questions
What kinds of file can we bring in?
Excel (.xlsx) and CSV, Word (.docx), plain text, PDF and photos. Older Excel and Word files, and Numbers and Pages, need saving in the newer format first, and Alista tells you which.
Will an import undo changes we have made?
A guest list only adds and updates, and an agenda only adds what is not there yet. A rooming list sets that hotel’s nights to the list, and you see every change, guests coming off included, before you confirm it.
Can it read a photo of a printed programme?
Yes. A clear photo of a printed page is read like any other file.

Attendees and headcounts
Bring in the guest list and say who each part of the programme is for. The numbers stay right as people accept, decline and change their plans.
Accommodation and travel
Hotel nights and journeys are part of the programme, so the rooming list and the transfer list can never disagree with the run sheet.
Freelancers
Each freelancer opens the event on their phone and finds what is theirs. You decide what they see, and whether they can change it.
